Proposals: Preparation & Submission
A well-written and skillfully prepared research proposal is crucial to the success of an application for research funding. This section provides guidance for developing the various sections of a proposal, including the budget, and explains the proposal review process.
As outlined above, a successful application submission involves several individuals working closely together to meet the proposal deadlines. OSP has created a Proposal Checklist that provides guidance on the steps of proposal creation and submission. We encourage using this checklist when working through the proposal development and submission stage.OSP is available to advise and otherwise assist investigators, departments, and schools in the process. Please direct any questions to OSP at OSP@stonybrook.edu or 631-632-9949.
Eligibility
Proposals must meet both SBU and sponsor eligibility requirements in order to be approved for submission. The Principal Investigator/Project Director (PI/PD) Status webpage provides guidance on who is eligible to submit a proposal as a Principal Investigator at SBU, as well as sponsor eligibility limitations (e.g. institutionally limited proposals).
Proposal Submission Deadline Policy
To help ensure timely review and equitable processing ofsponsored projects proposals, visit the SBU Proposal Submission Deadline Policy webpage. TheTips for Successful Proposals webpage has been created as a representative example of the proposal submission timeline for PIs and departmental administrators.
Proposal Development
Each proposal is unique with different requirements specific to the solicitation or sponsor, however some commonalities exist. It is important to review the proposal guidelines when developing and submitting your application. For Federal funding, OSP uses several submission interfaces such as ASSIST, Grants.gov, FastLane for most proposal submissions. OSP transmits these applications directly to the Federal government either using the sponsor portals or through System-to-System (S2S) transfer inside the SBU myResearch Grants system. For more information about submitting a proposal through myResearch Grants, please see the myResearch Grants webpage; for a broad overview of federal sponsor systems, visit theSponsor Specific Information webpage.
OSP has developed the following checklists to assist with preparing proposal applications:
Go to Proposal Development Basics webpage for a general overview of how to develop components of a proposal, as well as proposal content and format, proposal writing guides, types of proposals etc.
Budget Development
A proposal budget reflects the Principal Investigator's best estimate of the costs for conducting the project within a defined time period. The Budget Development webpage provides guidelines for developing a proposal budget.
Regulatory Requirements
The scope of work for your proposal may trigger regulatory requirements such as: human subjects, animal subjects, stem cells, export control, or Conflict of Interest. Find additional information related to regulatory requirements at the proposal stage on Office of Research Compliance's webpage.
Submit Proposal
Who, how and when a proposal gets submitted depends on the sponsor and solicitation. Learn more about the proposal submission process at SBU as well as SBU's proposal submission deadline policy.
