Promotion to Associate Professor

Your First 10 Semesters 

During your first 10 semesters at Stony Brook, you should be focused on ensuring that you are building a strong case for yourself.

 

 

 

Semester 10: Prepare your File

Your part of the file includes: CV; Statements on research, teaching, and service (three separate statements); Sample publications, talks, and/or creative works; Courses taught; Honors and awards; Dissertations and/or theses advised; Sample syllabi; List of external reviewers; Service to your department, university, and profession.

External Evaluation

Your tenure file will be sent for external review. Depending on your field, this stage of the process can take different amounts of time.

Semester 11: Department, School/College Review

Your departmental review committee will evaluate your file. Tenured and full professors will vote and your chair or committee head will write a letter to the dean. The college or school promotion and tenure committee will review your file and vote. Your file will then be submitted to your dean for their review and recommendation.

 

 

 

Semester 12: Provost's Office Review

By April 1, your dean will submit your file to the Provost's Office. The Provost's Office will review your file and make its recommendation. You will have five days to review your evaluative file and the Provost's Office recommendation before the President's Office review begins. 

 

 

 

Summer after Semester 12: President's Office Review

The President's Office will review your file and submit their recommendation to the SUNY Chancellor.  The Provost's Office will notify you of the President's recommendation before the start of your 13th semester.

Altered Promotion and Tenure Timelines

Expedited Tenure

Expedited tenure is granted as part of the hiring process. It is only for senior hires: faculty or administrative leadership who have already held tenure at another institution. In these cases, candidates are hired with the understanding that they are qualified for tenure at the point of hire.

  • Expedited tenure is not for faculty already on campus.
  • It is not an opportunity to evaluate the candidates once they have arrived.
  • It is not the same as going up for tenure early/credit for prior service.

Hiring administrative leaders (deans or above)

During the search, the hiring manager should ask leadership of the potential home department of the candidate whether the department views the candidate as likely to receive tenure and promotion within that department. An email attestation of a discussion/preliminary vote is sent to the hiring manager and included in the candidate's expedited tenure file in Interfolio.

Hiring a senior scholar

Prior to making an offer to a senior hire with "expedited tenure," senior members of the department should hold a preliminary vote on the candidate's likely tenure and promotion, should they accept the offer. To prepare for this discussion, chairs may solicit additional information from the candidate, such as teaching evaluations or letters of recommendation, but must not contact the candidate's home department. The results of this preliminary vote should be documented and saved for the candidate's expedited file in Interfolio.

The Process:

Stony Brook uses Interfolio for promotion and tenure, and reappointment.

Candidate files will be initiated in Interfolio by their home department's assistant to the chair (ATC), and candidates will be given access to upload documents and check on the progress of their files.

Going up Early; Credit for Prior Service

Going up for tenure early is rare. If a faculty member is hired after serving in a tenure-track position elsewhere, they can discuss with their chairs receiving "prior service credit" for that time. This should be confirmed at the point of hiring or shortly after arrival to campus.

Depending on the situation, an assistant professor could be granted up to three years prior service per SUNY Board of Trustees policies, Article XI, Appointment of Employees, Title B, Continuing Appointment.

This form may only be used for assistant professor, assistant librarian, or senior assistant librarian.

Extension of Time-to-Tenure

Tenure clock extensions may be considered for personal or professional reasons.

This extension may be accomplished through:

  • A reduction in work hours that would be reflected in a reduction of the faculty member's effort, with a comparable reduction in salary, or
  • A transfer of the faculty member’s appointment to a position of qualified academic rank, for example a visiting assistant professor.

The faculty member may request an extension of the tenure clock with a letter to the appropriate department chair or area coordinator.
