• What is the Safety Management System?

  Environmental Health & Safety has launched a new comprehensive Safety Management System (SMS).  The SMS is a software database solution from Salute Safety that is designed to manage risk, ensure safety and compliance, and improve efficiency.

  The SMS will be used for a wide range of safety and compliance activities, including safety training, laboratory and research safety, hazardous materials management, worker safety programs, fire safety and emergency response.

  The SMS will include modules for safety training (Learning Management System), laboratory registration, chemical inventories, hazard assessments, inspections, equipment inventory and other compliance and permit activities.

  An initial focus of the SMS will be a new safety training Learning Management System (LMS). The LMS will deliver, record and track training and will be intergrated with other modules, such as Laboratory Registration, that will identify training requirements based on hazards and training needs assessments. 

  Later this semester, a new Laboratory Registration module will be launched. The laboratory registration will identify lab spaces, personnel, lab hazards, training requirements and emergency contacts. The program will also produce door signage with hazard information.

• What can I use SMS for?

  You can use the SMS to view the safety training that you have completed.  You can also link to the Learning Management System (LMS) to view available safety training courses (on-line or in person), enroll in courses, or check on the progress of training that you have started.  When courses are completed, you can view and print a Certificate of Completion for your records.

  Later this fall you will be able to use the SMS to register your laboratory space. This is essential to identify, assess, and manage lab hazards.  It is also required to ensure compliance with federal and state regulations and mandates.  

  Early next year you will be able to use the SMS to complete and maintain your chemical inventories. Chemical inventories are required for laboratories, shops and other areas where hazardous chemical materials are used and stored. 

  As more modules within SMS become available, we will update the website accordingly.

• How do I log in to the SMS?

  You will need your NETID to log into the Safety Management System (see instructions below).

  To log into the Safety Management System:

  1. Click or type the following URL into a new browser window (page) on your computer: https://ehs.salutesafety.com.
     
     
  2. Enter your Stony Brook University email address. For example: first.last@stonybrook.edu*.
     
     
  3. Complete the Single Sign On process using your NETID and Password and authenticate with Duo SSO.

  *If you have a Stony Brook Medicine email account, you should first try to use your "@stonybrook.edu" email address.  If you are not redirected to the Single Sign On page, please try logging in with your "@stonybrookmedicine.edu" email.

• Why am I unable to access the system with my email?

  The Safety Management System can only be accessed by using your @stonybrook.edu email address.  If you are a unsure what your @stonybrook.edu email address is, you can view all email addresses on file, directly through SOLAR.

  To find your email addresses on file through SOLAR:

  1. Log into SOLAR using your SBU ID number and password.
  2. Under "Security and Personal Data" look for the tab that says "Email" and click the link.
  3. All email addresses associated with your ID number should be listed on this page.
  4. Use the @stonybrook.edu email to access the SMS.

  The Safety Management System does not work with any other email domain except @stonybrook.edu

• Why am I not redirected to the SSO page after entering my email?

  As mentioned above, please ensure you are using your @stonybrook.edu email address.

  Are you a new hire trying to access the system before your official start date?
  The system can only be accessed by active users, you will gain access to the system on your official start date.

  Are you currently on sabbatical or extended leave?
  

  Your account will be made active upon your return.

• Who do I contact if I need help or have questions?

  If you need help logging in or navigating in the SMS or Learning Management System, or have any questions, please email the Department of Environmental Health and Safety: ehsafety@stonybrook.edu.

Laboratory Registration

• Which types of laboratories are required to register?

  According to the EH&S Laboratory Safety policy, a laboratory is defined as a room or space equipped with chemical, biological, radiological, or other hazardous materials, research animals, or mechanical equipment, and is utilized for teaching, research, observation, or measurement purposes. This includes academic, research, clinical, engineering labs, machine shops and makerspaces. However, the following types of laboratory spaces are exempt from Laboratory registration:

  • Computer Labs
  • Storerooms without chemicals or biological materials.
  • Chase-ways
  • Mechanical Rooms
  • Shops not associated with laboratories (as defined above) that support other University operations.

  If you are uncertain about whether your lab needs to be registered, please reach out to us at labsafety@stonybrook.edu for clarification.

• What is a permit and why do I need it?

  Before EH&S assigns laboratory registration to each PI or laboratory supervisor, a permit is generated in our Safety Management System. This permit serves as a tool to allocate the assessments required for registering your laboratory space. It doesn't authorize specific tasks but assists EH&S in organizing each department and PI efficiently.

• If you haven't received an email and have no pending assessments, do you still need to register your laboratory space?

  Yes, all laboratory spaces are required to be registered. EH&S will reach out to each individual PI/Laboratory supervisor for Lab Registration. However, this process takes some time. If you haven't received the lab registration email but wish to register immediately, please contact labsafety@stonybrook.edu for assistance in starting the process.

• What information do I need to have to register my lab space?

  To register your lab space, you'll need the following information:

  • Room numbers for all the lab spaces you utilize
  • Names of all laboratory personnel
  • Awareness of the types of hazards and hazardous materials you're working with, including biological, chemical, radioactive, and physical hazards
• Can I assign the registration process to someone in your lab?

  Yes, please email labsafety@stonybrook.edu and provide the name of that person so that we can grant him/her access to register for your lab.
